Volunteer Information

Families must volunteer for the number of shifts required for each family as determined by the volunteer coordinator.

Volunteering at Time Trials and Divisionals is mandatory if your child is swimming at those events.

No more than 2 volunteer credits will be allowed per family per meet unless there are special circumstances and you have approval from the volunteer coordinator.

All volunteers MUST CHECK IN with the Volunteer Coordinator (or one of their assistants), at the Volunteer tent/table, the morning of the meet NO LATER THAN 7:15 a.m. so that replacement volunteers can be found.

If you are MORE than 15 minutes late for your assigned shift, you will NOT receive volunteer credits.

If between the hours of 10 a.m. on the Friday before the meet and 7 a.m. the day of the meet, you find you are UNABLE to work you volunteer shift text the Volunteer Coordinator at 724-448-4397 ASAP so that there is time for a replacement to be found.

Volunteer Responsibilities

 

What makes this team and the whole league possible is the great work of the volunteer parents. There are lots of ways to get involved with the team.

Board Member

Each year we vote on the members of the Board. They are responsible for the budget, NWAL rules, hiring the coaches, and doing whatever needs to be done.

Official

At each dual meet, there is a third ‘team’ at the pool; the Officials. They are dressed in white for easy identification and each team is encouraged to provide an adequate number of officials to properly officiate a meet.  Prior to beginning of each swim season there are classes to become a certified league official. There are three levels of officials, Stroke and Turn, Starter, and Referee.  Recertification is required year to year.

Head Timer

Stand at side of pool and start 2 timers when the buzzer sounds.

Watch lane timers. If a timer raises their hand, swap their timer with one of yours.

Stop timers when last swimmer touches the finish wall.

Reset electronic timer.

Timer

Stand at finish end of lane.

Start timer when buzzer sounds or verify that timer auto starts when buzzer sounds.

Stop timer when any body part of swimmer touches the wall at the finish.

Report swimmer’s time to scribe.

Scribe

LEGIBLY record times as reported by the 3 lane timers onto the scribe sheet.

Ready Bench

Gather and organize swimmers into their heat and lane assignments (as printed on the heat sheets) on the ready benches with sufficient lead time to keep meet progressing smoothly.

Runner

Shift one helps to organize scribe sheets for meet. Cut printed sheets, group them by lane and place them in event order. Deliver blank scribe sheets to scribes in manageable sets. Collect completed scribe sheets from scribes and deliver them to the computer entry table. Make sure scribes have sheets in advance of heats so that meet does not have to be held up.

Computer Verifiers

These volunteer shifts are for detail-oriented individuals. Volunteers will assist the Clerk of Course in verifying that swimmers’ race times entered in the computer match the times on the scribe sheets by comparing heat print outs to scribe sheets. These volunteer shifts can be intense at times, and not for the easily distracted individual. These volunteers will work inside the MNW Clubhouse in the air conditioning.

Concessions

Assist the Concessions Chairman with running the Concessions Stand. Volunteers may serve snow cones, coffee, etc.

Cashier

Assist the Treasurer with handling money at the Concessions Stand.

Grillers/Wrappers

Will either grill or wrap hamburgers and hot dogs sold at concession stand.

Friday Night Social

Assist in selling of pizza, water, etc at Family Fun Night event prior to a home meet.

Meet Set Up

Assist in getting out and setting up items needed for home meets (ready benches, shade tents, etc) early on Saturdays before home meets. You must show up at 6:30am the day of the meet to assist in order to receive volunteer credit.

Meet Tear Down

Assist in taking down and putting away items used in home meets (ready benches, shade tents, etc).

Water/Trash/Restroom

Keeps coolers full of ice and water bottles. Deliver water bottles to officials, timers, scribes, ready bench, and coaches who are unable to leave their posts during the meet. Empty ALL trash cans (pool area, restrooms, and parking lot) when needed, take trash to dumpster (If gate is locked find President or Vice President), and put a new liner in the trash can. Make sure restrooms have paper towels, toilet paper and that they are tidy. Report any issues to a board member.

Age Group Parent – Girls 6 & U

When the DJ announces that events 7, 19 and 41 are to come to the Volunteer Tent, you come to the Volunteer tent, hold your sign in the air and gather all 6 & U girls participating. If anyone is missing, have the DJ make an announcement for that swimmer. Escort swimmers over to the ready bench when instructed by the DJ.

Age Group Parent – Boys 6 & U

When the DJ announces that events 8, 20 and 42 are to come to the Volunteer Tent, you come to the Volunteer tent, hold your sign in the air and gather all 6 & U girls participating. If anyone is missing, have the DJ make an announcement for that swimmer. Escort swimmers over to the ready bench when instructed by the DJ.

Age Group Parent – Girls 7 & 8 (shift 1)

When the DJ announces that events 9, 21 and 31 are to come to the Volunteer Tent, you come to the Volunteer tent, hold your sign in the air and gather all 6 & U girls participating. If anyone is missing, have the DJ make an announcement for that swimmer. Escort swimmers over to the ready bench when instructed by the DJ.

Age Group Parent – Girls 7 & 8 (shift 2)

When the DJ announces that events 51, 61 and 71 are to come to the Volunteer Tent, you come to the Volunteer tent, hold your sign in the air and gather all 6 & U girls participating. If anyone is missing, have the DJ make an announcement for that swimmer. Escort swimmers over to the ready bench when instructed by the DJ.

Age Group Parent – Boys 7 & 8 (shift 1)

When the DJ announces that events 10, 22 and 32 are to come to the Volunteer Tent, you come to the Volunteer tent, hold your sign in the air and gather all 6 & U girls participating. If anyone is missing, have the DJ make an announcement for that swimmer. Escort swimmers over to the ready bench when instructed by the DJ.

Age Group Parent – Boys 7 & 8 (shift 2)

When the DJ announces that events 52, 62 and 72 are to come to the Volunteer Tent, you come to the Volunteer tent, hold your sign in the air and gather all 6 & U girls participating. If anyone is missing, have the DJ make an announcement for that swimmer. Escort swimmers over to the ready bench when instructed by the DJ.
